There is a gap in the travel technology market for a digital solution for team travel which delivers collaboration and flexibility. Existing solutions come with steep learning curves, increase team communication gaps, and leave users having to use several disjointed systems to organise travel plans. This is a problem as it decreases the efficiency of trip planning for organisations, and creates communication breakdown between travel coordinators and those on the move.

With the initial design and development of Eventr starting and stalling in 2021 due to varying business needs, I was brought onto the project to breathe new life into the development. As one of two designers, I focussed on usability research and crafting intuitive and useful design solutions, as well as building a collaborative and trusting multi-disciplinary development team.

During the initial research phase, we engaged with a wide range of organisations and users currently using their own systems or other travel planning solutions. Our aim was to gain a comprehensive understanding of their experiences, identify pain points and uncover unmet requirements.

At the same time, we conducted in-depth analyses of established programmes in the market, such as TripIt, Wanderlog, Navan and SAP Concur. Through rigorous testing scenarios, we evaluated their strengths and weaknesses, using a combination of user reviews and our own assessments to judge usability and user value.

This research not only provided valuable insights into the specific needs of our target audience, but also informed our understanding of the competitive landscape and guided our approach to creating a solution that would fill the gaps and exceed user expectations.

User Personas

Humanising the design process was key at this stage, to maintain the design focus on the users, and their specific needs. We focused a lot of our research and design efforts on two personas since they highlighted two important roles: travellers and travel coordinators. I was able to understand how broad a range we would need to cover thanks to their personalities.

Teamwork and Agile

Working in a small team on a fast-paced project, I felt it was important to maintain team morale and motivation by defining and shepherding the implementation of a clear and reliable project development structure.

Approach

Our team adopted an agile approach and used rapid product development to achieve Minimum Viable Product milestones. Early into the project, I introduced these approaches to leverage 4-week design sprints and regular, structured reviews to create a dynamic working environment that accelerated productivity and enhanced development efficiency.

This integration enabled us to quickly iterate towards our goals while maintaining a strong focus on design excellence and team communication within tight time and development constraints.

Brief

Re-define the user experience of the Eventr eco-system, focussing on creating an effective all-in-one tool for streamlined and flexible planning and communication for teams. Design a comprehensive travel and itinerary planning solution that consolidates various travel-related tasks within a single, user-friendly system.

Design System

Design and implementation of a detailed design system to establish a cohesive design language across Eventr. Additionally, with the developers, we worked to develop a shared component storybook to streamline rapid interface development.

High-fidelity prototyping

Creating clear user flows using high-fidelity prototypes, focussing on a clean hand-off from design to development, with clear communication to maintain an efficient development pace.

Eventr - Now

The Eventr Mobile App is a digital itinerary management tool. With the ability to create, edit and view itineraries right from the app, users have all they need to run successful events in the palm of their hand.

Eventr Coordinator Hub

With the Eventr Coordinator Hub, travel coordinators have the ability to create and manage events on a larger screen. This creates a more approachable experience when dealing with medium to large events.

Media Design

Alongside development of the app, we are also responsible for producing graphics for social media, and print designs for show banners and other materials.

User Testing

BWT 33rd Anniversary Event

The mobile app recently underwent a successful alpha test at the BWT 33rd Anniversary event. With an at-event adoption rate of around 87%.

Las Vegas Grand Prix

The app underwent live usability testing within the paddock of the 2023 Las Vegas Grand Prix.

HiTech GP

The entire eco-system is currently undergoing an extended usability test with mass planning for the upcoming events calendar.

Conclusion

My key takeaway is the profound impact that user-centric design, efficient communication, and streamlined processes can have on transforming challenges into opportunities. This project has honed my skills in tackling real-world problems, reinforcing the importance of empathy and innovation in digital product design
